Last year with the impending launch of Guild Wars 2 and the Stonewall Gaming Network was about to spawn it’s third major guild, Stonewall Vanguard. It became clear to the leadership that our current Ventrilo set up wasn't going to be viable much longer and since then we've had on and off discussions about the best route to take.

With the recent launch of Neverwinter and the Legacy of Romulus expansion for Star Trek Online, new rooms were created to handle the interest and protect our members from unfair spoilers. It became clear that this is going to be a continuing trend as big releases creep up on us (Wildstar, Elder Scrolls online, Everquest Next etc) and we no longer have the luxury of dragging our feet.

As such I have made some changes to the layout of our Ventrilo server which will hopefully help us cope in the future.

Private rooms are no longer game specific
We had twelve “private” rooms spread across three separate categories, one for each of the major guilds in the Stonewall Gaming Network.

This setup was flawed because any future guilds we created would need their own set of rooms which would soon turn Ventrilo into a h-scroll nightmare and also many members play games which aren’t STO, GW2 or SW:TOR.

So we have removed the game specific nature of the “private” mission rooms and have lowered the overall amount. We now have eight “Cooperation” rooms which can be used for anything the membership desire.

More rooms can be added should they be required.

We tried to decide on a unique naming theme for the private rooms but couldn't come to an agreement that all the leadership was happy with. As such we’re going to use letters of the greek alphabet as a place holder until we can decide on a suitable theme.

Because these rooms are often used for difficult content that requires teamwork and clear communication, these rooms have an etiquette that should be followed. Members shouldn't enter an already populated room without prior permission and upon entering members should try to avoid disrupting ongoing activities.

Live Events section
We have added a new “Live Events” section to Ventrilo which will help house rooms which aren’t going to be a permanent addition to the lineup. These can exist for as long as they’re needed and are being used with regularity.

For example, with the release of Legacy of Romulus to the tribble server a tribble chat room was created to help prevent spoilers for those who didn’t want to try the storyline early. This room would now have been made in the “Live Events” section and once the Legacy of Romulus expansion had moved to the Holodeck server, as the room was no longer needed, it would have been deleted.

The Stonewall Lounge gets it’s own section
To help emphasise that “The Stonewall Lounge” room is non-game specific and is for all members, it has been moved to it’s own section away from the game specific over-eighteen rooms.

A few days ago a couple of us were going to use the lounge as a discussion room and it was not accessible. I have not tried to get into it again since then but I was wondering if that was intended or if it's protected on accident.

Love these changes! As a suggestion with regard to the Cooperation Rooms, how about naming them after famous LGBT people, places, and characters? For example, you could have the Milk Room, the Willow (from Buffy) Room, the Takei Room, the Jack Harkness (from Doctor Who) Room, etc.

We discussed this. We were planning on naming them after famous GLBT people (Milk, Sally Ride, etc.), but we also wanted to keep the Greek Alphabet in there because it's a bit of our culture and history. (The original Fleet rooms were Alpha Fleet, Beta Fleet, Iota Fleet, etc.) In the end though, the names became very verbose and difficult to describe quickly so we opted for the more easier to reference greek letters.
